“Proof” is a purpose, not one standard object.
A proof may be a PDF sent for checking text, a colour-managed screen simulation, a digitally printed sheet, a folded dummy, an imposed plotter proof or a sample made with production materials. Two suppliers can use the same word for different outputs. The quote or proof note should say what is being supplied and which questions it can answer.

Soft proofs are fast, searchable and easy to compare.
A review PDF is well suited to copy, page order, image placement, crop, version names, codes and obvious layout errors. Comments can be attached to exact pages, and a corrected file can be compared with the earlier issue. For variable or multilingual work, that traceability often matters more than a sheet moving between several desks.
A colour-managed soft proof goes further. With an appropriate simulation profile, calibrated display and suitable viewing conditions, it can help a trained reviewer anticipate changes in printable colour. It remains an emitted-light display, however. Uncontrolled laptop brightness, vivid phone settings and ambient light make casual screen comparisons unreliable for a binding colour promise.
Hard copy proofs make size and physical relationships visible.
Type that looked generous at 150% zoom may feel cramped on a small leaflet. A pale tint can sit differently beside the colour of the paper. A folded sequence may put the intended opening panel at the back. A physical proof or dummy exposes those relationships because the reviewer handles the object at its real scale.
Physical does not automatically mean “made on the final press with the final stock”. A contract colour proof, digital content proof, white packaging sample and finished production sample all have different levels of fidelity. Ask whether paper, coating, binding, finish and colour process are representative. If they are not, the proof can still be valuable—just for a more limited set of decisions.
Special finishes and structures often need another kind of sample.
Foil, embossing, debossing, spot gloss, soft-touch surfaces and textured papers change with angle and touch. A flat PDF can show position and approximate contrast, not the full physical effect. A material swatch, earlier representative sample, decorated prototype or production sample may be the sensible reference, depending on cost and risk.
Packaging has a similar split. A white sample can test fit, closure and removal without proving printed colour. A decorated prototype can test graphics and handling but may use another manufacturing route. Approval comments need one owner and one file version.
Proof rounds become confusing when several people send separate messages. One person should combine content, design, legal, product and colour comments into a single response. Each note needs a page, panel or component reference. “Make it brighter” is hard to act on; “the product blue on page 12 is materially darker than the approved swatch” identifies the concern.
If artwork changes after a physical proof, decide whether the change is local and low risk or whether another proof is warranted. A corrected spelling may need a new PDF review. Replacing a hero image, moving a code, altering a dieline or changing a spot-colour build can affect more than content. The final approval should name the exact PDF and any physical reference that belongs with it.
